Portal Privacy Notice

This notice describes what 3rd Sun Labs records when you use the client portal, why, and who can see it. It covers the portal only. Text-message alerts have their own SMS Privacy Policy.

What we record

Sign-ins and use. Your email address, when you sign in and out, and which pages and reports you open.
Ask questions and answers. Each question you ask, the answer you received, the data queries used to produce it, how long it took, and what it cost to run. Answers can include your customers' names, addresses and service history, so these records do too.
Your ratings. Whether you marked an answer as helpful, if you choose to.

We do not record your password. Sign-in is handled by Google Identity Platform.

Why we record it

To check the quality of Ask's answers and improve them.
To support you when something doesn't look right.
To keep the portal secure, including a record of who opened what.

We do not use it for advertising, and we do not sell it.

Who can see it

These records are available only to the 3rd Sun Labs administrator. They are not shown in the portal, and other portal users cannot see your questions or activity.

Two service providers handle this information to run the portal:

Google Cloud hosts the portal and stores these records.
Anthropic provides the AI model behind Ask. Your question, and the records needed to answer it, are sent to Anthropic to produce each answer.

How long we keep it

Usage and Ask records are kept for about 13 months, then deleted automatically.
